How to Assign Access Rights and Permissions to a Staff Member
To fulfill their responsibilities, staff members need
to be able to access the modules they work in. Then, within a module staff
members need to be assigned specific permissions to enable them to perform
work-related tasks, such as editing or deleting a record or modifying
data. This topic shows you how to assign new access rights permissions
to a staff member.
To assign access
rights and permissions, you must have Organization Admin or Diocesan Admin
permissions assigned to your login credentials.
- In the Organization list, select the organization
in which you are assigning the staff member's access rights and permissions.
- Click
to display the Staff List page.
- In the
Staff List,
select the link under the desired staff member’s name to open his
or her staff record.
The record opens to show the Access
Rights tab.
- Click
to put the record in edit mode.
- In the dropdown list in the upper-right, select
the organization and associated position for which you want to assign
access rights and permissions, as shown in the following illustration:
- At the top of the Access
Rights tab, select the following checkboxes if applicable:
- Primary Assignment:
indicates that in the selected organization, the associated position
is the primary one for the staff member.
- Grant Login Privileges:
allows the staff member to log in to the desktop application and ParishSOFT
Family Suite.
- Show in Kenedy Dir.: adds
the staff member to the list of personnel in reports. Select this checkbox only if the staff
member is paid, works full-time (35 - 40 hours), and is considered
professional ministry personnel, such as, a priest, deacon, director
of Religious Education, youth minister, music minister, and liturgy
director. Do not select this checkbox if the staff member holds a
support staff position, such as a secretary, administrative assistant,
or bookkeeper.
- Edit/View Pastoral
Notes: allows the staff member to view and edit information
in the Pastoral section (located on
the Notes tab in Family Details).
- Select the ParishSOFT
Modules tab. This tab contains permission settings that enable
you to give the staff member access to specific ParishSOFT modules
(for example, Family Directory) and assign specific permissions (for
example, Edit) for those modules.
Do one of the following:
- A staff member with organization administrator
rights and permissions has global access and permissions to all functions.
To give the staff member global access and permissions:
- Select the Organization
Admin box.
- Click .
The View
checkbox for each module is selected, and all permission settings within
each module are enabled.
- To assign access rights to individual modules
and specific permissions within those modules, do the following:
- Select the View
checkbox for the specific module. This allows the staff member to
view and access the module.
- Assign specific permissions within
the module by selecting individual checkboxes.

- In the ParishSOFT
group, select the ParishSOFT Access checkbox
to give the member access
to modules in the ParishSOFT Family Suite.
Important
If you give the staff member View access
to any module in the suite, you must also select the ParishSOFT
Access checkbox.
- (optional) In the ParishSOFT
group, select the Suspense Reviewer
checkbox to give the staff member rights to review new user registration
requests and record change requests.
- Click .
The system updates and applies your changes
to the staff member's login credentials.
