How to Filter Records

Depending on the size of your program, the number of pages of records can reach a substantial size. In certain situations, you may not be interested in working with all of your records. You may want to focus on a particular group or type of information. By applying a filter, you can sort the records and view only the information that you want to see.

Rolodex Filters

The rolodex filters are located above your people records on the Student Directory and Leaders pages. When applied to a list, these filters let you narrow down your view to focus on a specific subset of your people data. As shown in the following illustration, there are two types of filters:

       Alphabetic: apply to a column that contains alphabetic information (for example, Full Name and Gender).

       Numeric: apply to a column that contains numeric information (for example, Age and Phone Number).

When you select a filter, it applies to the columns in the list that is located under the filters. The type of information in the column determines the type of filter (numeric or alphabetic) that you can apply. In addition, the filter applies to the first character only in the selected column.

How to Use the Filters (Example)

To apply a filter to a column:

  1. Select the column containing the information you want to view (for example, Student Name).

A directional arrow (or ) is displayed on the column header to indicate that the column is selected and to indicate the direction of the sort (up or down).

  1. Select the desired filter (for example, "A").

The content reloads and information with the filter criteria you specified is displayed.

Suppose you want to look at a list of only those students whose last name begins with "A". To do this in the Student Directory:

  1. Select the Student Name column

  2. Select the A filter.

The contents of the list are updated. As shown in the illustration below, the criteria you selected and the column you are filtering on are shown in the filter description field, and the results (all students whose last name begins with "A") are displayed in the list.

 Clearing the Filter Settings

The Clear Filter button is located under the row of alphabetic filters. Click this button to clear your filter settings and re-display all of the records in the list.
