Setup Options for the Contribution Statements Report

This topic lists and describes the setup options available for the Contribution Statements report.

Description

Options Group

Report Format

Determines the format for the statement. Select one:

  • Summary: creates a summary report that lists the selected funds and shows totals and grand totals of giving for each. Summarizes contributions made to the selected funds during the specified date range and, for each fund, provides both a summary total and a grand total of giving.

  • Detail: creates a detailed report that lists the selected funds and itemizes the contributions made to each. A detailed report includes the contribution date, contribution amount, and the fund receiving the contribution.

Contributions in the report are arranged horizontally (from left to right) in an alternating sequence between two columns. To see how contributions are listed, go to List Order of Contributions in the Contribution Detail Report.

 

Delivery Format

Determines the method of delivery. Select one:

  • Paper Statements: produces a paper version of the statement that can be printed and delivered to givers by regular mail through the postal service.

  • Electronic Statements: produces an electronic version (paperless) of the contribution statement that is made available to givers through their secure My Own Church portal.

Sorting

Applies to paper statements only. Sort options give you control over how information is organized and presented in the statements. Select one:

  • Fund Alpha Ascending: sorts the information in the statement based on the fund receiving the contribution in ascending (A to Z) order.

  • Fund Alpha Descending: sorts the information in the statement based on the fund receiving the contribution in descending (Z to A) order.

  • Amount Ascending: sorts the information in the statement based on contribution amounts in ascending (lowest to highest) order.

  • Amount Descending: sorts the information in the statement based on contribution amounts in descending highest to lowest) order.

  • Date Ascending: sorts the information in the statement based on the contribution date in ascending (least recent to most recent) order.

  • Date Descending: sorts the information in the statement based on the contribution date in descending (most recent to least recent) order.

Filters Group

Dates

Specifies the date range for contributions to include in the statement.

To create a date range, in each field type or click and select a date from the calendar. For example, if you want to create statements that include contributions made during the year 2015, enter 1/1/2015 in the first date field and 12/31/2015 in the second date field.

Amount

Specifies the lowest (minimum) and highest (maximum) range of contribution amounts to include in the statement.

This filter is controlled by the date range filter. In other words, contribution amounts will be that fall within the date range you specify for the Dates filter.

 

The Minimum and Maximum filters apply to the selected funds as a group (not independently) to produce a calculated aggregate value, which includes all gifts to all selected funds, in the generated statements.

Minimum

Minimum contribution amount in the range.

Maximum

Maximum contribution amount in the range.

Include $0 Contributions

To include zero-dollar ($0.00) contributions in the statements, select this checkbox.

List contributions of $250
or more

To list individual contributions of $250 or more on contribution statements, select this checkbox.

The filter is useful for IRS purposes in that it provides the necessary details about contributions over $250.00. The filter can be applied to family or member contributions. You can use it in combination with other filters (for example, funds and dates) to fine-tune your results.

Membership Group

Family Registration

Registration group that contains the givers you are creating statements for. Select one:

  • Registered: registered families only.

  • Not Registered: non-registered families only.

  • Both: registered and non-registered families.

Family Group

Family group that contains the givers for whom you are creating statements. Select one. Options vary.

Family Workgroups

Family workgroup that contains the givers for whom you are creating statements. Select one. Options vary.

Member Workgroups

Member workgroup that contains the givers for whom you are creating statements. Select one. Options vary.

Givers Group

Show filtered givers

Includes only those givers whose contributions fall within the minimum-maximum range specified by the Amount filter.

Show all

Includes all givers.

Show all except filtered givers

Includes only those givers whose contributions fall outside the minimum-maximum range specified by the Amount filter.

For example, if you specify a minimum amount of $500.00 and a maximum amount of $1500.00, selecting this filter includes only those givers with contributions are less than $500.00 and more than $1500.00.

Show non-givers

Includes individuals who have not made a contribution ($0 total given) to the funds selected on the Funds tab.

If desired, you can generate and mail paper statements to non-givers.

Contribution Source Group

Family

Includes  contributions from all family members (those made on behalf of the entire family and those made by individual family members).

A single statement is generated that shows contributions made on behalf of the family and details individual member contributions.

Member

Includes contributions made by individual members only. Each member receives his or her own statement.

Include Member Contributions in Family Statements

Includes individual family member contributions in the family statement.

Electronic Statements Group

Include givers who have opened electronic statements

This checkbox is selected by default.

  • If you created electronic versions of your contribution statements and also want to generate paper statements for givers who opened their electronic versions (in My Own Church), leave the checkbox selected.

  • If you do not want to include givers who have opened their statements, de-select this checkbox.
