Template Tab Options for the Contribution Statements Report

This topic lists and describes the options available on the Template tab in the setup for the Contribution Statements report.


Each field on the Template tab—except for Statement Date—retains the previously selected value. This so-called "sticky" behavior is designed to eliminate the need for you to enter the same information again in a field. You will find this feature helpful when you are generating sets of contribution statements for the same year.

Option

Description

Statement Dates

The Statement Date field enables you to select a date for the statement. Typically, the date you select is the date when the statement will be generated or the date when the statement will be received in the mail.

Name Format

The Name Format dropdown list lets you select the preferred format for the recipient's name printed in the address block at the top of the statement and on mailing labels. Two options are available:

  • Family Formal Mailing Name (the default): pulls the recipient's name from the same-named field in the family record. Uses this format: Title, First Name, Last Name. For example, Mr. and Mrs. David Smith.

  • Informal Name: pulls the recipient's name from the same-named field in the family record. Uses this format: First Name, Last Name. For example, David and Anna Smith.

Body of Statement

The Body of Statement dropdown list contains options that let you include a custom message with your statements. Select one of these options:

  • None: select this option if you do not want to include a customized message with your statements.

  • New Template: select this option to create a customized message to include with your statements.

  • Saved message: if you previously created and saved a custom message, it appears in the list for you to select. If desired, you can change the font and font size of the message text by selecting options from the respective dropdown lists..

To remove a printed name from the dropdown list, click .

Salutation Format

The Salutation Format dropdown list is only displayed after you select to create a body of statement or use an existing one.

In the list, select the preferred format of the salutation (greeting) for your custom message. Four options are available:

  • Family Informal Salutation: pulls the recipient’s name from the same-named field in the family record. Uses this format: First Name. For example, David and Anna.

  • Family Formal Salutation: pulls the recipient’s name from the same-named field in the family record. Uses this format: Title, Last Name. For example, Mr. and Mrs. Smith.

  • Family Informal Name: pulls the recipient’s name from the same-named field in the family record. Uses this format: First Name, Last Name. For example, David and Anna Smith.

  • Family Formal Mailing Name (the default): pulls the recipient’s name from the same-named field in the family record. Uses this format: Title, First Name, Last Name. For example, Mr. and Mrs. 
    David Smith.

Signature

The Signature dropdown list contains options that let you specify whether you want to add a signature that appears below your body of statement. Three options are available:

  • None: select this option if you do not want to add a signature to your statements.

  • New Signature: select this option to add a new signature.

  • Saved signature: if you previously created and saved a signature image, the file name appears in the list for you to select.

Printed Name

The Printed Name dropdown list contains options that let specify whether you want a printed name to appear below the body of statement and signature. Three options are available:

  • None: select this option if you do not want to add a printed name to your statements.

  • New Template: select this option to add a printed name. Type a new name in the field.

  • Saved printed name: if you previously created and saved a printed name, the name appears in the list for you to select. If desired, you can change the font and font size of the printed signature by selecting options from the respective dropdown lists.

To remove a printed name from the dropdown list, click .
