Overview

The Configuration > Sessions page lets you view and manage sessions for a selected term. Specifically, you can add, edit, and remove sessions from a term. You can also select a session and manage the dates for the session. A calendar and list view of session dates makes it easy to set up schedules for sessions.

The illustration below identifies the main areas on the Configuration > Sessions page. Place your mouse pointer over a hyperlink (without clicking) to view a general description of an item. Click the hyperlink to jump to the section on this page that gives you more detailed information.

Organization List

The organization associated with your ParishSOFT login credentials automatically appears in the Organization list, which is located in the upper-right corner of the Configuration > Sessions page:

If you manage multiple organizations, click ,  and then select the organization whose leader records you want to work with from the list:

Left Panel

The left panel contains two tabs: Session List and Calendar.

Session List Tab

The Session List tab lists all of the sessions in the currently selected term. This tab contains four main controls that enable you to manage the sessions in the selected term. The controls are described in the following sections.

Term List

Contains a list of terms created for your program. The most recently selected term's data is selected as the default on this page and on all other pages that contain a Term list (for example, on the Student Directory and Classes pages). To display a different term's data, select the term from the list. The selected term becomes the new default selection.  

Session Management Buttons

Three buttons under the Term list let you manage the sessions in the selected term:

       : lets you add a new session to a term. After you add a session, it appears in the list on the Session List tab.

       : lets you change the name of the selected session. After you make the change session, the renamed session appears in the list on the Session List tab.

       : lets you remove the selected session from a term. After you remove a session, it no longer appears in the list on the Session List tab.

You cannot remove a session that has classes associated with it.

Session List

The sessions created in the selected term are displayed at the bottom of the Session List tab. Select a session from the list to view its summary (top right panel) and details (bottom right panel).

Session Total

The total number of sessions created in the selected term is displayed at the bottom of the tab.

Calendar Tab

The Calendar tab lets you select a date on a calendar and view the sessions scheduled for that date. Navigation controls at the top of the calendar let you navigate to any date in any year. Filter controls under the calendar let you change the way you view information.

Navigation Controls

Clicking the Calendar tab displays a calendar that shows you the current year, month, and day (the default). To select a specific day, simply click the date.

Use the controls at the top of the calendar to change the visualization modes:  

Go back a year at a time.

Go back a month at a time.

Go forward a month at a time.

Go forward a year at a time.

Filters and Selector Controls

Selecting a date on the calendar lets you see whether any sessions are scheduled for that date. You can then use these features:

       View By: enables you to view the list of sessions by session name or by date.

       Session name link: clicking hyperlink under the session name updates the information in the right panel to enable you to see the summary and details for the session.

Holidays

Holidays and special events are built into the calendar. If you select a date that a holiday falls on, the name of the holiday is displayed:

Right Panel

The right panel shows a summary of the selected term (top portion) and details for the session (bottom portion).

Session Summary

The session summary in the top right portion highlights important details about the session, including the number of dates, the number of classes scheduled, and the session's start and end dates.

 

List of Quick Reports

The List of Quick Reports contains pre-defined reports related to the session you select.

From the list, you can select these reports:

       Dates List: provides a list of dates in the selected session.

       Classes List: provides a list of the classes in the selected session.

       Dates & Classes List: provides a list of dates and classes in the selected session.

Date Schedule Tab

The Date Schedule tab provides a calendar view and a list view of the dates in the selected session.

Calendar View

The Calendar view highlights the dates in the selected session.

 

Use the controls at the top of the calendar to change the visualization modes:  

Go back a year at a time.

Go back a month at a time.

Go forward a month at a time.

Go forward a year at a time.

List View

The List view shows specific dates created in the selected session along with the dates of important holidays, events, and special observances on the general U.S. and Catholic calendars. Above the list are two button controls that enable you to manage dates in the selected session:

: lets you add a date to the selected session.

: lets you remove a date from the selected session.

Classes Tab

The Classes tab lists the classes scheduled in the selected session.

Button Control

: lets you add a new class to the selected session.

Class Links

Each class name is a hyperlink that takes you to the Classes page where you can view specific details about the class, including names of class leaders and students currently enrolled in the class.
